Add students individually or import an entire roster at once. Each student is linked to their classes, so grades, attendance, and notes are always connected.


Add a student manually

  1. Click + New Student from the Students page.
  2. The Create Student Profile dialog opens with two panels.

Left panel — Choose an avatar: Pick a colored avatar for the student, or click Upload to use a custom image.

Right panel — Student details:

  • Full Name — required.
  • Student ID — optional. Use your school's ID system if you have one.
  • Class Selection — assign the student to one or more classes.
  • Tags — add tags for filtering (e.g., "Group A", "ELL", "Advanced").
  • Student Email — optional.
  • Parent Email — optional. A confirmation link will be sent to the parent.
  • Phone Number — optional.
  1. Click Create Profile. The student now has a profile where you can track their grades, attendance, and notes.

Import students from CSV

For adding many students at once, use the CSV import. It walks you through a 3-step process.

What's a CSV? A CSV (comma-separated values) file is a simple spreadsheet format. You can create one in Excel, Google Sheets, or Numbers — just go to FileSave As or Download AsCSV.

Step 1 — Upload your file:

  1. Click the dropdown arrow next to + New Student.
  2. Select Import CSV.
  3. Upload your CSV file.

Step 2 — Map your columns: EMStudio detects your CSV columns and asks you to map each one to a field:

  • Name — the student's name
  • Student ID — student identification number
  • Class Selection — which class to assign each student to
  • Skip Column — ignore columns you don't need

A preview of the first 5 rows appears on the right so you can verify the mapping looks correct.

  1. Click Verify & Import.

Step 3 — Verify and resolve classes: EMStudio shows how many students are ready to import. If your CSV includes class names that don't match an existing class, they'll appear under Unmatched Classes. For each one, you can:

  • Map it to an existing class — select the correct class from the dropdown.
  • Import without class — add the students without assigning them to a class yet.
  1. Click Import to finish.

Students in multiple classes

A student can belong to as many classes as you need. Assign them to additional classes when creating their profile, or add them later from the student list. Grades, attendance, and notes are tracked separately per class.

Once students are added, keep notes to track observations and parent conversations.
